Registration - Check-in

The check-in module allows you to register on site on the day of your event. 

The checkin does not allow you to register new users, but only to streamline the registration of existing participants and check their registration for workshops/meetings.

On the checkin module you can simultaneously activate several types of sessions depending on your event:

  • checkpoints (or sessions): for creating unique checkpoints

  • workshops: this type of checkin automatically lists the sessions in your program, and allows you to scan the participants registered for these sessions

  • appointments: automatically lists all appointments made between participants and exhibitors

Config

The Config tab shows you the various settings for your ticketing system. A default setting is available when the module is activated, which you can then modify to suit your event.

The configuration is divided into three points:

  • Control points

  • Workshops

  • Synchronization

Control points

Complete the items you wish to update on the application.

  1. Show filter bar: select if you wish to display tabs in the app

  2. Title template: default name + first name

  3. Subtitle template: default email

  4. Users sorted by field: default alphabetical order

Workshops

List of workshops

  1. Show filter bar: check if you wish to display tabs in the app

  2. Filter mode: to select the sessions you want to show on the app

  3. Workshops grouped on home page: to choose the sorting of sessions on the home page of your checkin app

  4. Workshops ordered by field: to order your sessions in a specific way

  5. Fields to be displayed on a workshop card: to customize the elements displayed on your workshops in the app

Scan parameters

  1. Authorize session checkout: allows you to scan participants entering and leaving a session (once or several times), for example, to check the number of present and no-shows.

  2. Authorize the addition of a user to a session: allows last-minute participants to be added to a session.

  3. Allow quotas to be exceeded (overbooking): in the event of a no-show, you can bring new participants into the session without the system taking into account the quota entered.

  4. Authorize on-the-fly session registration during scan: allows you to add last-minute participants to a session.

  5. User info visible in scan popup: allows you to customize the user info visible in the scan popup.

Users

  1. Show filter bar: check if you want to display tabs in the app

  2. Show only users registered to the session

  3. Title template: default name + first name

     

  4. Sub-title template: default email

  5. Users sorted by field: default alphabetical order

Hide a workshop in the app

You can make only certain Workshops visible on the check-in app.

Simply uncheck the blue button associated with the session in question.

Check-in 1

Synchronization

Allows you to define the frequency at which application data (sessions, workshops, users) should be refreshed. A default frequency has been defined. If you have any specific questions or requirements regarding synchronization, please contact your project manager.

Add a session

In the Sessions tab, click on Add a session and complete the mandatory fields.

You can edit or delete an existing session by clicking on the ellipses to the right of an existing session.

Staff

Create admin accesses to the checkin app from the staff tab: you can connect simultaneously to the same account, or create an account for each person.

To do this, simply add for each account :

  • E-mail address

  • Password

 

Please note: if you have several events in progress at AppCraft, make sure you don't duplicate your e-mail address/password on the different events, so that you're redirected to the right checkin interface.

The AppCraft Checkin application

The checkin application is publicly available on the following stores:

To access your event, log in using the login details you created in the Staff tab.

You will then be taken to your checkin's home page, where you can find your checkpoints, workshops and appointments, depending on your event.

Click on the individual entries to view all the checkin sessions in the list.

You will then find in each session :

  • All : All users

  • Present: Checkin users (in green in the listing)

  • Gone: Checkout users (blue in the listing)

  • None: Users who have not yet been scanned

You can scan users from the application with their qrcode, or search by name to check them manually.

If a participant is not on the list, a red banner appears during the scan, reading "Unknown user". The data also appears in the scan history and in exports.

Statistics

Exports can be downloaded via the Appcraft backoffice.

Click on a session for detailed statistics.

You can then download :

  • Scan history

  • List of all participants with their status

  • List of participants present

  • List of absent participants
