Anticipate and schedule your emails

Schedule

The "scheduled" tab lets you create email templates to be scheduled according to different criteria:

  • On sessions in the agenda
  • On date/time fields of participants
  • On a specific date/time

You will find all the scheduled emails in this tab:

  1. The "Mail Contact" title corresponds to the name of the email template.
  2. The "participants" tag specifies the target audience, which in this case are the participants.
  3. The text that follows indicates the conditions for sending this email: it will be sent to all participants who have not yet responded to the invitation, i.e. those for whom the "registered" field is empty.
  4. Finally, the last piece of information provided is the sending date, which you can find on the same line.

You can also filter the display of scheduled emails:

1- Show all scheduled Mails (sent or not yet sent)
2- Show all scheduled Mails (not yet sent)
3- Show scheduled and sent Mails only
4- Show Mails waiting to be sent

There are several ways to schedule a mailing:

Schedule an e-mail for a specific date

In this case, you will need to select the e-mail template to be sent, set the desired date and time, and choose the sending method. You can opt for an automatic send, which means that the email will be sent automatically at the specified time, or for a manual send, which will require you to click on the "send" button.

If you have several collections, you can select the one you wish to use, as well as defining a condition to target a specific category of guests.Schedule an e-mail for a specific date.

Schedule an email when a user is created

The email can also be sent when a participant is created. It will be automatically sent to the participant as soon as they are created.Schedule an email when a user is created.

Schedule an email when a user registers

The email can also be sent when a participant registers. It will be automatically sent to the participant as soon as they have registered for the event.Schedule an email when a user registers.

Please note that if you have already set up an automatic e-mail for your form in the event of registration from the "form" module, you do not need to set it up again here. Otherwise, the participant could receive a duplicate confirmation email.

Schedule an email to confirm/reject a participant's registration pending moderation

If you have set up moderation for your event, you will be able to schedule confirmation and rejection emails to be sent to participants once their registration has been moderated by the administrators.

A pop-up window will open, asking you to enter a set of information:

You start by entering a title which clearly identifies the purpose of the scheduled email. Next, select the desired e-mail template and the appropriate collection, which will generally be "participants" in this context. You can also define a condition if you want the message to be sent only to a specific category of recipient. Finally, in the "send to" field, you will have the option of choosing between "user" to target all participants or "personalised", which will require you to provide a list of the email addresses of the users concerned.
