Rooming
The rooming follow-up tab gives you a global view of your rooming, allows you to export and, if necessary, allocate rooms from the backoffice.
Dashboard
At the top of your page, you'll find a dashboard showing the number of rooms validated by room type, pending, rejected...
Left side
Validated rooms: Summarizes the number of validated rooms by room type: Single, Twin, Double...
Validated rooms are those for which all participants have validated the request.
Right side
Room follow-up :
- Validated: Total number of validated rooms, all room types combined.
- Rejected: Total number of rejected rooms, all room types combined.
- A rejected room is when one of the participants invited to share the room refuses the invitation.
- Error quota: Total number of rooms in error quota, all room types combined.
Rooms created
The rooms created section allows you to check all room-sharing requests made by participants, whether or not they have been validated or rejected.
- Action: Allows you to edit the room - see below
- Satut: Displays room status (valid, rejected, quota error, pending)
- Hotel: Displays the hotel in which the room has been validated
- Category: Displays the category you entered when creating the room type
- Guest: Displays the participant who initiated the room-sharing request
- Participants : Shows the total number of participants in the room (room creator and guests)
- Roomates : Displays all persons in the room. If the person's name is in green, he/she has validated the request. Orange means still waiting, red means refused.
Change room status
It is possible to validate or reject rooms via the back office.
To do this, click on the little pen button in the actions column.
A popup will open with room information and status for each participant.
Pour modifier le statut de la chambre, dans la colonne statut
, vous pouvez modifier le statut :
- Pending : Return to standby
- Accepted : Accept the room for the participant
- Error quota : Put the room on error quota (participants can reapply)
- Rejected : Refuse the room for the participant
- Canceled : Annuler la chambre
If you modify a status, participants will receive automatic e-mails (validation, refusal, etc.).
Create / allocate rooms in backoffice
You can create and allocate rooms to participants in the backoffice, in available hotels.
To do so, simply click on Add a room.
A popup window opens with various fields to fill in:
- Hotel: Choice of hotel
- Category: Choice of room type within the hotel, according to remaining quotas
- Choice of participant(s) to be included in the room
When you manually create rooms in the backoffice, participants do not receive automatic room validation emails.
The room is validated directly, they can't refuse/accept it
Exporting rooming lists
From the rooms created tab, you can export rooming lists:
- Global export for all rooms/hotels
- Export creating a ZIP by room / hotel type...
Global export
To download a global export of all rooms in all hotels, simply click on the download button.
Export by room / hotel type...
To export by hotel, for example, you first need to group rooms by hotel.
To do this, in the rooms created tab, click on the Group by button.
Next, you can choose the value on which to group, such as hotel
Once grouped, your data is sorted by hotel (or choise value) as follows:
When you export, it creates a ZIP with 1 Excel for each hotel.
Your rooming lists are ready!
